The Clinical Operations Coordinator plays a key role in ensuring operational excellence within the Clinical Department. This position supports the end-to-end workflow of clinical customizations, modifications, and documentation management that drive customer success. Working closely with leadership and team members across clinical, operations, and customer support, the coordinator will manage task tracking, documentation flow, and scheduling logistics to keep the department running efficiently. This role ensures continuity, consistency, and quality across all clinical operations, enabling our clinicians to focus on what matters most — safety, accuracy, and timely delivery of care solutions.

RESPONSIBILITIES:
- Coordinate the intake, documentation, tagging, and tracking of clinical customization and modification requests using JIRA and Salesforce.
- Prepare, organize, and upload protocol and medication PDFs for internal review and approval.
- Manage customer scheduling logistics, including webinars, office hours, and follow-up communications.
- Support execution of Clinical Office Hours by preparing materials, monitoring attendance, capturing Q&A, and logging follow-up action items.
- Track and manage the customer journey to ensure timely customization completion, review, and sign-off.
- Maintain data consistency and alignment across Salesforce, Freshdesk, Jira and shared drives.
- Collaborate with internal teams to ensure accuracy and timeliness in clinical-related communications and documentation.
- Assist with the creation, organization, and upkeep of standard templates, SOPs, and process documentation.
- Serve as a reliable point of contact to maintain operational continuity during staff absences.
- Support additional administrative or project-based initiatives as assigned within the Clinical Department.
REQUIRED QUALIFICATIONS:
- 2+ years of experience in an administrative, coordinator, or operations support role (preferably in healthcare, SaaS, or education).
- Excellent organizational and time-management skills with strong attention to detail.
- Exceptional written and verbal communication abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Tech-savvy and adaptable to learning new systems and workflows quickly.
PREFERRED QUALIFICATIONS:
- Experience with Freshdesk, DocuSeal, or other workflow/documentation systems.
- Familiarity with webinar and scheduling platforms (e.g., Zoom, Gong).
- Understanding of healthcare or clinical operational processes.
- Experience supporting technical or clinical teams within a SaaS or healthcare environment.
